Event Coordinator

Job Description :

We are seeking a highly organized and energetic Event Coordinator to assist in planning and executing various types of corporate, lifestyle, and promotional events. This role requires someone with exceptional multitasking skills, strong communication, and the ability to manage logistics down to the finest detail. You’ll be the backbone of the event execution process—handling everything from scheduling and vendor coordination to overseeing event-day operations.

As an Event Coordinator, you’ll collaborate closely with clients, vendors, internal creative teams, and venue managers to ensure all aspects of an event run smoothly. Your role is crucial in turning client ideas into immersive, unforgettable experiences that meet brand objectives and operational standards. You must be proactive, calm under pressure, and solution-oriented to thrive in this fast-paced environment.

 

Duties & Responsibilities:
  • Assist in conceptualizing, planning, and organizing events from start to finish.

  • Coordinate logistics: venue booking, catering, entertainment, décor, permits, etc.

  • Manage event timelines, budgets, and task checklists.

  • Communicate with clients to understand objectives and expectations.

  • Liaise with vendors and suppliers for timely deliverables.

  • Oversee event setup, breakdown, and on-ground management.

  • Handle guest list coordination, RSVPs, and seating arrangements.

  • Maintain post-event reporting, including vendor feedback and client satisfaction.

  • Ensure brand alignment in event execution.

  • Anticipate and troubleshoot problems before and during the event.

  • Manage travel and accommodation for teams when needed.

Minimum Qualifications:
  • Bachelor’s degree in Hospitality, Event Management, or related field.

  • 1–2 years of experience in event coordination or hospitality.

  • Excellent organizational and time management skills.

  • Strong communication and negotiation abilities.

  • Ability to work flexible hours, including evenings and weekends.

  • Experience handling high-pressure situations.

  • Proficiency in Google Workspace or MS Office.

  • Knowledge of AV and logistics is a plus.
